REGISTRATION

You can register online by completing the pre-registration form.
Your reservation will only be effective within the limit of available places and after validation by our referent guide.
By pre-registering online and after the first payment made upon receipt of the reservation contract, the client acknowledges having read the technical sheet, the conditions of sale, as well as the guarantees offered by the insurance we offer.
Your registration request is considered a firm reservation, and cannot be canceled free of charge.
For groups, each participant must complete a registration form.
For works councils and associations, the manager must complete a registration form in his name or on behalf of the structure he represents and complete the « group » information form, signed by all participants.

CONTRACT

Following the validation of your registration by us, we send you a reservation contract with the full details of your reservation as well as the calendar and terms of payment. Upon receipt of this contract, you have 4 days to pay the deposit. Final registration is only taken into account upon receipt of payment of the deposit. Any modification (options excluding insurance) in the reservation must be communicated to us before the date of payment of the balance. No modification in the reservation will be accepted after the payment of the balance.

TERMS OF PAYMENT

A deposit of 30% of the total trip cost is required to confirm the booking. The remaining balance must be paid 45 days prior to the holiday departure.
Any delay in payment of the balance will be considered as cancellation and sums may be retained.

In the case of registration less than 45 days before departure, the total amount of the reservation must be paid upon receipt of the reservation contract according to the terms and conditions therein.

PAYMENT METHODS

You can pay by bank transfers, bank checks, holiday vouchers, cash.

INFORMATION AFTER REGISTRATION

Once your deposit has been received, you will receive a registration confirmation.
After payment of the balance and at the latest 10 days prior to your departure, you will receive all the useful and essential informations for your stay (times and exact meeting places, contact details of the supervisor, contact details of first night’s accommodation…)

COSTS

In accordance with Article L 211-12 of the Tourism Code, the prices indicated on the technical sheet are subject to revision to take into account the following variations: cost of transport (related to the cost of fuel or ski lifts), modification of program, royalties and taxes (landing, disembarkation, boarding), exchange rates applied to the trips and stays, tourist taxes. These variations may lead to an increase of the prices of your booking no later than 20 days before departure.

FORMALITIES AND INFORMATION

You must provide us with your surname, first name and date of birth as they appear on your passport or national identity card that you will take with you during your stay.
The administrative and health formalities issued by ROC ÉCRINS concern French nationals. Clients of other nationalities should check with the relevant embassies and consulates. It is up to all participants to check that they are in possession of the right travel documents, in accordance with the information provided by the official bodies.

MOUNTAIN STAYS

Each participant must comply with the instructions given by the management, ROC ÉCRINS cannot be held responsible for incidents, accidents or bodily injury that may result from an unwise personal initiative. During their stay, the participants commit to respect the safety instructions given by the supervisor. The itineraries of our mountain stays can be vertiginous and exposed to natural hazards: rock falls, crevices, avalanches… Weather conditions as well as mountain conditions can make it impossible to carry out the planned program because it is too dangerous. Whilst we always endeavour to avoid changes and cancellations, in any case, our priority will always be safety. In this case, we may have to substitute one transport for another, one accommodation for another, and modify the planned itinerary. The participant cannot refuse them for valid reasons. On the other hand, if the quality of the services accepted is lower, the price difference will be refunded by ROC ÉCRINS, upon return. If a replacement service cannot be offered or if it is refused for valid reason, we will ensure the return of the passenger, at no additional cost.

Any voluntary interruption of the stay on your part does not entitle you to any refund, as well as an exclusion decided by the management of the trip, for insufficient level or non- compliance with the safety instructions.

EQUIPMENT RENTAL

ROC ÉCRINS offers you a rental equipment reservation service in partner stores. This material is under the full responsibility of the participants for the duration of the rental. In the event of theft, breakage or loss, the participant must pay the cost of replacing this equipment. The same applies to equipment rented or lent by ROC ÉCRINS.

CANCELLATION

By the client:

Any cancellation request from the Client will be made by mail or email and it is his/her

responsibility to ensure this is received. It is the date of receipt of this letter or email that will be used to calculate the cancellation fees.

Depending on the date of the cancellation, the following sums will be retained :

  • more than 60 days before departure: 20% of the amount of the total reservation

    (price of the stay + options) with a minimum of 60 euros per person

  • from 60 to 31 days: 25% of the total amount of the reservation (price of the stay + options)

  • from 30 to 21 days: 50% of the total amount of the reservation (price of the stay + options)

  • from 20 to 16 days: 75% of the total amount of the reservation (price of the stay + options)

  • less than 16 days: 100% of the total amount of the reservation (price of the stay + options)

    For some of our stays abroad including special accommodation (boat for instance), the following deductions apply (specified on the technical sheet of the stay):

  • more than 120 days before departure: 35% of the amount of the total reservation (price of the stay + options)

  • from 120 to 90 days: 50% of the total amount of the reservation (price of the stay + options)

  • from 90 to 60 days: 75% of the total amount of the reservation (price of the stay + options)

  • less than 15 days: 100% of the total amount of the reservation (price of the stay + options)

    The price of the insurance taken out is not refundable, as are the visa and pre-routing costs that you would have incurred for your trip. These non-refundable costs are not taken into account by your cancellation insurance.
    If you have to cancel your participation, you can suggest someone to replace you if they meet the same conditions. Even in this case, all reservations that would already be committed in your own name will be invoiced to you. You are required to inform us between 15 and 30 days before departure.

    Groups:
    The price of a trip is determined according to the number of participants. Any cancellation of one or more participants of a privatized stay, regardless of the date of cancellation, implies that 100% of the price of the trip will be retained in order to maintain the departure of the stay in the same conditions.

    Cancellation by us:
    Our trips require a minimum number of participants. If we have to cancel a stay due to lack of participants or for reasons beyond our control, you will be notified at the latest:

  • 20 days before the departure date for stays longer than 6 days

  • 7 days before departure date for stays of 2 to 6 days

  • 48 hours before the start of the stay for stays of 2 days or less

INSURANCE

The Trip price does not include any insurance or repatriation cover, nor cancellation insurance. The Client is obliged to have repatriation insurance cover. It is strongly recommend that the Client takes out cancellation insurance.
It is up to the participant to check, before registering, the risks for which he is already covered.

He also can take out EUROP ASSISTANCE insurance contracts with ROC ÉCRINS:

  • The « ASSISTANCE » insurance covering repatriation, rescue and search costs,

    represents 2.4% of the price of the stay.

  • « CANCELLATION » insurance covering cancellation and loss of luggage,

    represents 3.9% of the stay.
    If you purchase both EUROP ASSISTANCE insurance policies, you will be covered for interruption of stay.

    NB: to be able to take out these insurances, you must live in Western Europe or in the French overseas departments. Your main and usual place of residence is considered as your domicile and appears as your domicile on your income tax notice. Western Europe means the following countries: Germany, Andorra, Austria, Belgium, Denmark, Spain, Finland, Metropolitan France, Gibraltar, Greece, Ireland, Italy and Islands, Liechtenstein, Luxembourg, Principality of Monaco, Norway, Netherlands , Portugal, United Kingdom, San Marino, Sweden and Switzerland.     If the client doesn’t want to subscribe to our repatriation insurance, we ask him to provide us with a certificate from his own insurance specifying the maximum amount of cover for evacuation costs.
